The short version

This website collects only what the forms ask for. The product is designed around a stronger position: your clients' documents can be processed without leaving your infrastructure.

What the website collects

The booking and contact forms collect your name, work email, firm name (optional), and the message or notes you write. This is used only to respond to you. It is not sold, shared with third parties, or added to a marketing list.

The chat assistant processes your questions to generate answers from our published material. Chat content is not used to identify you.

Processors the website uses

Form submissions are delivered by email via Resend (a transactional email service). Cloudflare Turnstile may run to keep bots out; it processes device and interaction signals under Cloudflare's privacy policy.

We do not run advertising pixels, third-party analytics, or behavioural tracking on this site.

When your firm becomes a client

The TrueFigures pipeline processes receipts and invoices from your Google Drive. Your inbox folder, processed archive, and Master Invoice Ledger live in your Google tenant — the documents and the data remain yours.

The vision model that reads documents can run locally — on premises or on infrastructure you control — so client documents never transit a third-party AI API. Where a firm instead opts into cloud model inference, we say so explicitly before that path is enabled.

We maintain the pipeline (hosting, updates, rule changes). Confidential client details encountered in that work are used only to keep the system running, never for anything else.

Retention

Form data is kept as long as our business relationship requires, then deleted. If you become a client, the processing records you keep are governed by your engagement terms — the ledger and archive are held in your accounts, not ours.

Your rights

You may ask what we hold about you, ask us to correct it, or ask us to delete it. Email us and we will confirm completion in writing.
